From Nintex to Salesforce: Streamlining Zimmer Biomet’s Core Processes with ProQuest

ProQuest has been a long-standing partner to Zimmer Biomet, supporting various initiatives to strengthen its presence in Australia. With Nintex licensing due for renewal and costs falling to the local team, Zimmer saw the opportunity to modernise its workflows. Moving to Salesforce simplifies key processes and supports the company’s global digital strategy.

Zimmer Biomet provides innovative solutions in joint replacement, bone repair, sports medicine, and other musculoskeletal treatments. In Australia, the company employs over 300 people and generates more than AUD $100 million in annual revenue. It combines surgical expertise with digital technology to deliver better outcomes for patients and healthcare providers.

What’s Nintex?

Nintex is a process management & workflow automation software. At Zimmer, both the Material Master and Product Miscellaneous Requests (PMR) processes were managed through Nintex workflows, built on top of SharePoint.

Material Master is how Zimmer teams request new products to be set up in the system, ensuring everything is ready before a product can be stored, shipped, or used in hospitals and clinics. Meanwhile, PMR is used for non-sales requests, like sending samples for training, demo units, or clinical trial products. These need proper tracking and approvals to meet internal and regulatory standards.

Why Move from Nintex to Salesforce?

Zimmer Biomet aims to centralise workflow management on a single, scalable platform that supports global operations. Shifting these critical processes into Salesforce will help reduce the reliance on legacy tools, lower maintenance effort, and simplify workflows that were previously spread across multiple systems.

ProQuest’s Solution

ProQuest successfully delivered the project on time and within budget, completing it in 15 weeks. The solution included:

  • Rebuilt the Material Master and PMR forms within Salesforce for a familiar and streamlined user experience
  • Migrated the Nintex approval process natively in Salesforce to simplify workflow management
  • Integrated Salesforce with their internal systems via MuleSoft for real-time data and approvals
  • Set up custom objects and migrated relevant information from the legacy system and SQL database to Salesforce

This move enhances operational efficiency, provides improved visibility, and reduces the time required to launch new products. By using Salesforce, Zimmer Biomet is now running these processes in a more connected, agile, and cost-effective way.

Beyond Workflow Transformation:

ProQuest has also worked with Zimmer Biomet on several other initiatives that showcase the full power of the Salesforce platform.

  • Service Cloud Case Management: A clean, efficient setup that simplifies how support cases are handled across teams.
  • Advanced Dashboards: Fully leveraging Salesforce’s reporting capabilities to provide real-time actionable insights.
  • Barcode Recognition with Visual Processing: Custom functionality that reads labels, identifies barcodes, and matches them to the correct products directly within Salesforce.
  • Surgeon Portal: A dedicated portal built for surgeon interactions

These solutions reflect the strong collaboration between ProQuest and Zimmer Biomet, pushing what's possible with Salesforce to meet real business needs.
